    Planning a party means juggling a dozen things at once. The cake is one of them, and it's easy to leave it too late. This checklist maps out what to do at 4 weeks, 2 weeks, 1 week, and the day of — with the cake order built into the timeline.

    4 Weeks Before: Lock In the Big Decisions

    • Confirm the date, time, and venue. Everything else depends on this.
    • Finalize the guest list. You need a headcount for food, drinks, and cake size.
    • Book your cake. This is the ideal time. You have room to discuss designs, flavors, and sizes without rushing. Use our cake calculator to figure out the right size for your guest count.
    • Send invitations. Digital or paper — just get them out early enough for RSVPs.
    • Plan the food and drinks menu. Knowing what else you're serving helps decide between coffee portions and dessert portions of cake.

    2 Weeks Before: Details and Decorations

    • Confirm cake design details. Colors, topper choice (acrylic, fresh flowers, macarons), any text on the cake. Send reference photos if you have them.
    • Order party supplies. Plates, napkins, candles, decorations. Don't forget a proper cake knife and server.
    • Plan the party flow. When do guests arrive? When do you eat? When do you cut the cake? The cake moment usually works best after the main food, before people start leaving.
    • Confirm RSVPs. Update your headcount. If it changed a lot, let your baker know — cake size adjustments are still possible at this point.

    1 Week Before: Final Prep

    • Confirm pickup or delivery. Know when and where you're collecting the cake, or confirm the delivery time and address.
    • Prep the venue. Identify a stable, flat surface away from direct sunlight for the cake. Not next to the speakers. Not by the door where people bump into it.
    • Do a fridge check. Make sure you have space to store the cake if you're picking it up the day before.
    • Buy any fresh items. Flowers for the table, balloons, anything that can't be bought too early.

    Day Of: Execution

    • If the cake was in the fridge, take it out 30–45 minutes before serving. Buttercream needs to come to room temperature for the best taste and texture.
    • Set up the cake on its display spot early. Before guests arrive, before chaos starts.
    • Keep the cake away from heat. No candles nearby (except on the cake itself, briefly). No direct sunlight. No spot next to the oven.
    • Cut and serve with a hot, clean knife. Run it under hot water between slices for clean cuts through the buttercream.
